Filming and Photography Policy

Filming & Photography at Berkhamsted Raiders

Berkhamsted Raiders is committed to providing a safe, inclusive, and positive football environment for all children and young people.

We recognise the value of filming and photography for:

  • coaching and player development
  • learning and review
  • celebrating participation and achievement

All filming and photography is carried out in a safe, appropriate, and proportionate manner, with the welfare of the child as the paramount consideration.

This approach follows:

  • The FA Safeguarding Children Policy
  • The FA Photographing and Filming Children Guidance
  • Hertfordshire FA safeguarding expectations

When does this policy apply?

This policy applies to all Berkhamsted Raiders activities, including:

  • matches
  • training sessions
  • tournaments and club events

It covers filming and photography carried out by:

  • club coaches, volunteers, and officials
  • approved third-party providers engaged by the club (e.g. Veo)

Note: Personal filming by parents or spectators on public land is addressed separately below.

Our safeguarding principles

In line with FA and Hertfordshire FA guidance, we apply the following principles:

  • The welfare of the child is paramount
  • Filming and photography must be reasonable and proportionate
  • Parents should be informed when filming is planned
  • Safeguards are applied where consent is not in place
  • Any concerns are handled calmly through welfare processes

Filming on public and private land

Public land

Where matches or events take place on public land:

  • parents and spectators may lawfully take photographs or film
  • the club does not have the power to prohibit lawful public filming

Any behaviour that causes distress or raises safeguarding concerns may be challenged and referred to the Club Welfare Officer.

Private land

Where activities take place on private facilities (e.g. schools):

  • filming is subject to the landowner’s conditions
  • Berkhamsted Raiders ensures appropriate permission is in place
  • venue rules relating to filming are enforced where applicable

Consent and parental preferences

General position

In line with FA guidance, parental consent relates primarily to the use of images or footage, particularly where content is shared beyond the immediate football environment (e.g. websites or social media).

Membership consent

At registration, parents are asked to record their preferences relating to:

  • filming for internal coaching and development
  • use of images or footage on club communication channels

These preferences are shared with relevant coaches and officials.

Withdrawal of consent

Parents may withdraw consent at any time. Where consent is withdrawn:

  • the club will take reasonable steps to ensure the child is not the subject of close-up filming or photography
  • previously captured content will not be used for new purposes

Withdrawal of consent does not prevent general, wide-angle filming of matches or events where such filming is reasonable, proportionate, and not focused on the child.

This reflects FA guidance, which recognises that it is not always practical or proportionate to prohibit general event filming due to the concerns of one parent alone.

Filming for coaching and development

The club may record matches or training sessions for internal coaching, learning, and development purposes.

In line with safeguarding expectations:

  • parents will be informed in advance where reasonably practicable
  • filming will be general and wide-angle in nature
  • footage is stored securely with restricted access
  • children without consent will not be the focus of close-up footage

Photography and filming for public use

Images or footage used on public platforms (e.g. website or social media):

  • require appropriate parental consent
  • avoid identifying children by full name
  • are respectful and appropriate in context

Where consent is later withdrawn, images will be removed where practicable.

Safeguarding restrictions

The following are strictly prohibited:

  • filming or photography in changing rooms, toilets, or private areas
  • intrusive or inappropriate imagery
  • sharing close-up images outside approved club channels

Any safeguarding concern should be reported to the Club Welfare Officer, who may seek advice from Hertfordshire FA.

Storage and security

  • Digital content is stored securely
  • Access is restricted to authorised individuals
  • Content is retained only as long as necessary
  • Third-party platforms must meet safeguarding and security standards

Raising concerns

Parents are encouraged to raise concerns promptly with the Club Welfare Officer.

Safeguarding concerns are managed in line with FA and Hertfordshire FA procedures.
Behavioural or conduct issues are handled separately under club disciplinary processes.

Policy review

This policy is reviewed annually, or sooner if FA or Hertfordshire FA guidance changes.
